How to make a seating chart

  1. Pick a room. Choose a venue room, or set up your own with as many tables and seats as you need.
  2. Paste your guest list. Copy Name and Company from a spreadsheet. Guests fill the empty seats in order, and anyone left over waits in the Unseated list.
  3. Drag to rearrange. Drop a guest on a seat to place them, or on another guest to swap the two.
  4. Share the link. Copy the share link and send it. Others can view the chart on their phone, or make changes and send their version back.

What you can do

Frequently asked questions

Is SeatingChart free?

Yes. SeatingChart is completely free and needs no account or sign-up. Open the page, create a chart and start seating guests.

How do I add my guest list?

Copy the Name and Company columns from Excel, Google Sheets or a CSV file and paste them into the Add guests box. Each line becomes one guest, a header row is skipped automatically, and guests fill the empty seats in order. Adding guests is done on a computer.

How do I move guests between seats?

Drag a guest onto a seat and they snap into place. Drop them on a seat that is already taken and the two guests swap. Drag someone to the Unseated list to take them off the table. Undo reverses the last change.

Where is my seating chart saved?

The whole chart is stored inside its link, after the # sign. That part of a link is never sent to a web server, so nothing is saved on a server and there is no database. Anyone who has the link can open the chart, so share it the way you would share a private document.

Can several people work on the same chart?

Yes, by passing the link around. When someone opens your link and makes changes, they get a new link with their version, and your original link stays unchanged. They copy their new link and send it back to you. Changes are not synced live.

Can I set up my own room and tables?

Yes. In the Set up your own room section, choose 1 to 20 tables and 2 to 24 seats per table, and optionally name the room. Tables are rectangular: tables with 6 or more seats get one seat at each end and the rest split across the two long sides.

Does it work on a phone?

Yes. On a phone, tables turn vertical so the chart fits the screen without sideways scrolling. Charts open as view-only so nothing moves by accident; tap Unlock to edit, then press and hold a guest to drag them.

Can I print the seating chart?

Yes. On a computer, use the Print button for a clean landscape layout of the tables and guest names, or save it as a PDF from the print dialog.
